Terms and Conditions

Bookings


Full rental fee and bond monies are payable by the guests in advance and before the keys to the property are released. All bookings are subject to negotiation and approval by the owners. A booking may be cancelled or altered by the owner at any time. In the event of this occuring we will endeavour to find alternative accommodation. Great Ocean Retreats cannot be held responsible for the action taken by the owner, third party or unforeseen event occuring beyond our control.
It is the responsibility of the guest to ensure that the information on your confirmation form is correct. This includes dates booked and amounts charged.

Please note that booking requests for the period between Christmas and the end of January commence from the 1st July every year.



Payment Of Booking

To secure a reservation, 50% deposit of the total tariff is required within 72 hours of making a booking. Should your deposit not be paid by this time, the booking will be automatically cancelled. If a booking is made within the month of the booking date, the full amount is required. Balance is to be paid prior to arrival. We accept credit card ( visa, mastercard) cash and EFTPOS. Please note credit card payments incur a 2% surcharge.

All bookings incur a booking fee of $85.00, which $2.00 of the fee is donated to World Vision. ( Non refundable )

Booking Sight Unseen

If you book a property over the phone or via pictues on the internet without viewing the property in person, we cannot be held responsible for any change to the property or misconception of the description. While every effort is taken to provide the correct information, inventories may change and the Agent/Owner takes no responsibility for this.


Cancellation Fees

Cancellation policy is applicable to whole or part cancellation of bookings. The booking fee is not refundable and a $50 administration fee applies to any cancellation.
A booking cancelled 6 months or more before commencement of booking: Adminisration fee $50.00 applies.
A booking cancelled 3 months or more before commencement: fee retained is 10% of the total rental cancelled, unless a replacement booking is found, plus the administration fee.
A booking cancelled 1 month or more before commencement: fee retained is 50% of the total rental cancelled, unless a replacement booking is found, plus the administration fee.
A booking cancelled less than 1 month before commencement: fee retained will be all the total rent paid. If a replacement booking is found only the administration fee will be retained.

Security Bond

A security bond of $1000 is required on booking. Credit card details are held against the booking up to 14 days after departure and in the case of cash/cheque bonds, payment will be refunded usually within 14 days, subject to the property being left in a clean condition with no damage.
No keys will be issued until such details have been taken or a cash security deposit has been paid.

Tariffs

Are current and are subject to change without notice. No responsibilty is accepted for errors and omissions on the websites.

Maximum number of Occupants

The number of guests of the rented premises must not exceed the number of beds provided or the number agreed to with the agent at the time of booking. The BOND of $1000 will be forfeited if this is the case and eviction from the property will be immediate.

Weddings, Parties, Events or......anything.

Properties we manage are to be used purely for holiday accommodation only. A charge of $2500.00 will be incurred should any type of function be held at the property.

Cleaning

We ask that the properties be treated as your own and left as you found them. It is the guest's responsibilty to clean the BBQ. Any excess cleaning or removal of excess rubbish will be deducted from your bond.

Arrival and Departure

In peak season, check in is 3pm and check out is strictly 10am on the day of departure. In mid and low season, the check in time is 2pm and check out time can vary according to individual property requirements. (Check out time will be verified on arrival)

Keys

Keys are to be collected and dropped off at our office for bookings in Aireys Inlet, Fairhaven, Moggs Creek, Eastern View, Big Hill and Lorne.
4/75 GREAT OCEAN RD AIREYS INLET. Office hours are 9-5 pm, Monday to Friday and 10am-4pm on weekends. If you are arriving outside of office hours could you please call our office to make alternative arrangements PH: 03 5220 0500

For all our Anglesea, Apollo Bay, Breamlea, Jan Juc, Ocean Grove and Torquay properties, keys will be left at the property for your arrival.
                                                  During out of office hours, lost keys or lockouts incur a service fee of $50

Smoking

All properties are non-smoking without exception.

Damage

As a guest, you are responsible for all damages, breakages and losses incurred during the term of your occupancy. All damages, breakages and losses must be replaced, paid for or made good to the satisfaction of the owner/agent. This includes replacing/recutting lost keys.

Linen

The majority of our properties are let WITHOUT linen (being towels, tea towels and all bed linen) unless otherwise stated you will be required to bring linen. ( Please check the individual property attributes on our website)

Pets

Animals are strictly not permitted in any of our properties, unless the property is deemed pet friendly. All bond monies will be automatically forfeited and you will be require to vacate the premises immediately if pets are found on the rented property.

Pet friendly properties - pets strictly outside only.

Personal property

No responsibility will be taken by the agent or owner for guest's possessions left at the property. If items are left and need to be returned, a self-addressed post bag is to be sent to our office for item/s to be retrieved.

Indemnity

1.       The guest:

a)       uses and occupies the premises at his/her own risk; and
b)      Indemnifies the owner against any liability, which may attach to the owner as a result of injury or loss being personal or proprietary suffered by any person where any injury damage or loss has been contributed to or caused by any act or occasion of the guest or his/her agent.

Great Ocean Retreats does not accept liability in contract or tort for any injury, damage, loss, delay, additional expense or inconvenience caused directly or indirectly by force majeure or other events which are beyond our control or which are not preventable by reasonable diligence on our part including, but not limited to war, civil disturbance, fire, floods, extreme weather, acts of God, acts of Government or of any other authorities, accidents, theft to or failure of machinery or equipment or industrial action. For the avoidance of doubt, the Cancellation Policy applies to cancellations by reason directly or indirectly related to events which are beyond our control including warnings issued by any authority.
 
Privacy
 
All personally identifying information that you provide voluntarily (e.g. name, address and phone number) will only be used by Great Ocean Retreats to respond to your enquiry and to provide our services and to offer you other products or services that we believe may interest you. Great Ocean Retreats will not sell, trade, share or licence the information you provide to any other entity.
